A good announcement answers three questions: where have I reached, what is happening and what can I do next? Start with a clear script and adapt it to your actual caller journey.
On-hold messages
A caller on hold wants to know the call is still connected and what happens next. A short, calm message can provide that reassurance when it matches the actual queue.
Business voicemail
When you cannot answer personally, the greeting should confirm the destination and explain how to leave a useful message. Keep it short and make promises your team can keep.
Holiday messages
A holiday announcement explains when your team will return and which contact options remain available. Give callers a specific date and keep the message current.
IVR & keypad menus
An IVR menu helps callers choose a destination. Use clear names, a short list of options and a fallback when no selection is made.
Multilingual announcements
Using an English website does not make English the right language for every caller. A hotel in the Netherlands may need Dutch reception and English reservation information. Plan the local and international versions together, with the same opening hours, menu choices and next steps.
Out-of-hours messages
An out-of-hours message tells callers when someone can answer and what they can do in the meantime. Keep times, contact options and routing in agreement.
Phone-system audio formats
A filename ending in .wav is only part of the specification. Confirm the requirements of your actual system before you prepare and import the final announcement.
