IVR & keypad menus

The right person, without a guessing game.

An IVR menu helps callers choose a destination. Use clear names, a short list of options and a fallback when no selection is made.

Organise around the caller’s need.

Use familiar labels such as sales, appointments or service. Internal department names may be less helpful to someone outside your business. Put common requests early and keep the menu short enough to remember.

Keep the wording consistent.

Use the same sentence pattern for each choice: “For sales, press 1. For service, press 2.” Say the purpose and key clearly. Avoid repeating a long welcome before every menu option.

Plan the paths people miss.

Decide what happens after an invalid key, no input or repeated attempts. Check whether a destination is available and what callers hear when nobody answers. Your phone system must implement these rules; the announcement only describes them.

Review every branch.

Use the Call Flow Designer to make menus, hours and destinations visible. Test all options and share the plan with your team or telephony partner. Keep key assignments identical across languages and check the imported audio with real calls.

Does an IVR script set up my menu?

No. Key assignments, input handling, transfers and timeouts are configured in your phone system. Agree those details before recording the final text.

Your market. Your callers’ language.

Plan local-language announcements and an English version for international guests.
