Holiday messages

Away for a while. Clear about what comes next.

A holiday announcement explains when your team will return and which contact options remain available. Give callers a specific date and keep the message current.

Use an unambiguous return date.

Say when callers can reach your team again. Include the month and, where needed, the year instead of “next Monday”. If opening hours change during a holiday period, describe the actual schedule rather than a general absence.

Offer a monitored alternative.

Only mention email, voicemail or a replacement contact if someone handles it during the closure. Make clear whether a message will be read during the absence or after the team returns. Remove promises that do not fit the staffing plan.

Schedule the start and the end.

Configure the active dates in your phone system. Check the message with a test call when the holiday routing begins, and verify the normal greeting returns afterward. Keep the text, time rule and reopening date in agreement.

Prepare all language versions.

Use the same dates and contact options across German and English versions. Check that the chosen voice pronounces the date naturally. The studio helps you plan additional language versions alongside the rest of your announcements.

What should happen after the announcement?

Agree whether callers can leave a message, reach a replacement contact or simply hear the information before the call ends. Configure that behaviour separately in the phone system.

Your market. Your callers’ language.

Plan local-language announcements and an English version for international guests.
